How to become an operations manager

Operations is the job of making a process run when the people, the tools and the volume all keep changing. Most of the week is spent on exceptions — the order that did not ship, the shift nobody covered, the supplier who is late again — and the skill is noticing which exceptions are one-offs and which are the process failing repeatedly. People imagine planning; the work is closer to triage with a spreadsheet open.

Promotion from within the operation

Overwhelmingly the most common route, and the one nobody advertises. Team leads, supervisors and senior coordinators get moved up because they already know where the process actually breaks. If you are inside an operation, the fastest path to the title is fixing something measurable and being able to say what it saved.

From a coordinator or analyst role

You have the data and the process view but not the people management. That gap is real and is what interviews probe — managing a team that was your peer group last month is the part that goes wrong.

From a business or engineering degree

Strong on structure, weak on the floor. Expect to be tested on whether you have actually stood in the operation rather than modelled it, because plans made without that tend to ignore the constraint that matters.

What to learn, in order

Ordered by dependency, not by interest. Durations assume eight to ten hours a week and are an estimate, not a measurement.

  1. Learn the process end to end 2–4 weeks

    Walk it, physically or in the system, from first step to last. You cannot manage a flow you have only seen in a diagram, and the informal workaround is never in the diagram.

  2. Measurement 3–4 weeks

    Throughput, cycle time, error rate, cost per unit, and a baseline for each. Without a baseline no improvement is provable.

  3. The spreadsheet and the system 4–6 weeks

    Advanced Excel plus whatever ERP or ticketing system runs your operation. Reporting is a large part of the job and it is unglamorous.

  4. People ongoing

    Rostering, difficult conversations, escalation. The technical half of this job is learnable in months; this half takes longer and decides whether you are promoted again.

A before-and-after on one process you changed, with the number attached: cycle time, cost per unit, error rate, on-time percentage. It does not need to be a big process. What interviewers are testing is whether you measured the thing before you changed it, because most people cannot say what the old number was and that is the difference between improving a process and rearranging it.
