How to become an executive assistant

An executive assistant runs the working life of someone whose time is the scarcest resource in the organisation. The visible work is diaries and travel; the actual work is judgement — deciding what reaches them, what waits, and what you handle without asking. Done well it is a position of real influence, and it is consistently underestimated by people who have not done it.

The realistic ways in

Which people each route suits, and what it honestly costs.

From administrative or office coordination

The standard route. You have the systems and the pace; the step up is discretion and the confidence to make calls on someone else's behalf.

From reception or front office

Very common. You already handle competing demands from people who all believe theirs is urgent, which is most of the job.

From a role inside the business

Underrated. Understanding the company's actual work lets you triage properly rather than by whoever shouted loudest, and executives notice it quickly.

Directly, with strong organisation

Possible at smaller companies, which hire on capability rather than title history. Larger firms usually want prior EA experience for senior principals.

The title you get hired into first

The titles this role is actually hired under:

  • Executive Assistant
  • Personal Assistant
  • Administrative Assistant
  • Office Manager
  • Team Assistant
  • Business Support Coordinator

What to learn, in order

Ordered by dependency, not by interest. Durations assume eight to ten hours a week and are an estimate, not a measurement.

  1. Calendar and inbox as a system 3–4 weeks

Not tidiness — a defensible set of rules about what gets time, what gets declined, and what gets delegated.

  2. The tooling 2–3 weeks

Calendar, travel, expenses, and whatever suite the company runs. Speed here buys the time to think about the rest.

  3. Discretion ongoing

You will hold information before anyone else does. Knowing what not to repeat, including to friendly colleagues, is the trait the role is hired on.

  4. Anticipation ongoing

Preparing the brief before it is asked for. This is the difference between an assistant and a chief of staff in everything but title.

The one piece of work that changes the conversation

There is no portfolio, so what substitutes is a worked scenario. Take a realistic conflict — two board members want the same hour, the flight is cancelled the night before an offsite — and write what you would do, in order, and what you would decide without asking. Interviews for this role are largely judgement scenarios, and having thought about them beforehand is visible.

What it pays, measured

From salary figures on live executive assistant postings, not a survey. Half sit between the outer two columns.

What the role is screened on

Our skill study covers six role groups and executive assistant is not one of them. So this list is editorial — what the interviews test — not a count of postings.

    Who is hiring, right now

Ranked by how often each appears in executive assistant advertisements, measured 2026-08-22. Advertisement frequency, not vacancy count — which is why there is an order here and no number.

    • India: Bank of America, CSC Financial Services, Experis, Hindustan Unilever, Bosch Rexroth
    • the UK: Cera Care, Voyage Care, Exemplar Health Care, Citi, Elysium Healthcare
    • the US: Papa John's International, Dollar General, Walgreens, Michaels Stores, CDM Smith

Appearing high can mean growth, turnover, an agency posting for a client, or a bulk feed repeating one advertisement. Research, not a recommendation.

    What gets people rejected

Waiting to be told. The scenario question is always some version of "your executive is unreachable and a decision is needed", and answering that you would wait for them is the wrong answer to give confidently.

Whatever you write, make sure the resume that gets you the interview can survive the questions it invites — everything on it is fair game, and the numbers attract the most scrutiny. Check it against a real posting before you send it.

    How long it really takes

Two to six months from administrative or coordination work. Supporting a C-level principal usually expects a few years first, because the cost of a lapse in judgement scales with the seat.

Who finds this harder than expected. People who need public credit. The work is invisible when it goes well by design, and the recognition is private.
